Benefits of hosting a tournament:

  • An opportunity to participate in a tournament for divisions/tiers that may not have many options
  • Fundraising to offset team fees
  • No travel required

Considerations:

  • The number of teams that can be accepted into the tournament will depend on ice availability
  • The team/group of teams organizing the tournament will need to come up with seed money to cover any initial costs to run the tournament (e.g. medals, shirts, programs)
  • The tournament ice will likely be distributed over two or more facilities (e.g. Jarome Iginla/Kinex complex, Servus Credit Union Place or perhaps outside of St. Albert)
  • The team/group of teams will be responsible for running the tournament from start to finish. The SAMHA office will be available to provide consultative support only. Prior to applying to host a tournament as a team (or group of teams), at least 50% of parents within the team(s) MUST be in support of hosting. A parent vote is required prior to applying and parents will need to be aware of the following volunteer commitments:

Mandatory

  • Tournament Chair - oversees all tournament volunteers, delegates work, and acts as the primary point of contact for visiting teams
  • Treasurer - opens and manages a tournament bank account, establishes a tournament budget, collects and counts all cash, supplies a float for each draw, prepares financial statements following the tournament
  • Volunteer Coordinator - slots volunteers into shifts and facilitates changes as needed
  • Game Sheet Coordinator - creates roster labels for game sheets prior to tournament, collects and uploads all game sheets for Hockey Alberta, supplies hard copies to SAMHA office following the tournament
  • Timekeepers and Scorekeepers for each game - includes a minimum of one person for the clock, one for the game sheet and potentially additional volunteers to run the music and penalty boxes
  • Scheduler - creates the tournament schedule and submits draws to the SAMHA Ice Allocator, schedules and pay referees for each game
  • Scoresheet Representative - updates rink scoresheet or online scoresheet so participating teams can track game times
  • Discipline Committee Members - reviews and handles any discipline issues (must include a SAMHA board member)
  • Selection Committee Members - decides on teams to be accepted, sends out notifications, collects team rosters and send to SAMHA office

Optional

  • Silent Auction Table Coordinator and representatives - obtains silent auction items, collects cash, manages raffle tickets, obtains AGLC license (also applies to 50/50 draws)
  • 50/50 Coordinator and ticket sellers - sells tickets before, after and during games, coordinate 50/50 draw
  • Special Events and Awards Coordinator - Plans and executes special activities and awards e.g. skills competition, heart and hustle game awards, tournament medals
  • Shopper(s) - buy 50/50 ticket roles, food and drinks, ticket containers
  • Program Coordinator - designs, creates and prints tournament programs (include tournament rules, rosters, local information, sponsor information)

Additional Information:

  • All tournament information must be submitted for approval to the HOCVP before the application will be considered.
  • The online application form will go live September 27
  • Teams/groups will be notified ASAP
